This Privacy Policy describes how Quarter Athletic, the operator of the Twenty Five Select platform, collects, uses, shares, and protects information when you use our platform accessible at twentyfiveselect.com and any associated subdomains, applications, or services.
This Privacy Policy is incorporated into our Terms of Service. By using the platform, you acknowledge that you have read, understood, and agree to the practices described in this Privacy Policy.
1. Scope and Eligibility
1.1 Who This Policy Applies To
This Privacy Policy applies to all Users of the Platform, including Athletes, Coaches, and Administrators, as those terms are defined in our Terms of Service.
1.2 Geographic Scope
The Platform is operated from the United States, and all data is stored on servers located in the United States. While the Services may be accessible from outside the United States, we do not actively target Users outside the United States, and we do not represent that the Services comply with non-U.S. data protection laws (including the EU General Data Protection Regulation or the UK Data Protection Act). If you access the Services from outside the United States, you do so at your own risk and consent to the transfer and processing of your information in the United States.
1.3 Children
The Services are intended for individuals sixteen (16) years of age or older. We do not knowingly collect personal information from individuals under the age of 16. If we discover that we have collected information from a User under 16, we will delete that information promptly. For Users between 16 and 17 years of age (“Minor Users”), we collect and process information in accordance with parental consent obtained at registration; the parent or legal guardian is treated as the primary point of contact for the Minor User’s data.
2. Information We Collect
2.1 Information You Provide Directly
When you create an Account or use the Services, we collect:
All Users:
- Name and email address;
- Password (stored only as a salted hash—we never see your plaintext password);
- Account role (Athlete, Coach, or Administrator);
- Identity verification documents uploaded during registration (e.g., government-issued ID), reviewed by Administrators as part of the verification process.
Athletes:
- Sport, position, graduation year, GPA, intended major, and location;
- Athletic statistics (free-text and structured fields, including years on varsity);
- Profile photo, primary highlight reel video, and up to five (5) additional videos;
- A separate contact email used for Coach communications (this may differ from your login email);
- For Users 16–17 (“Minor Users”): a parent or legal guardian email address, which serves as the primary point of contact;
- Subscription tier, billing option (one-time or auto-renewing), and shipping address (for Swag-eligible tiers).
Coaches:
- School affiliation, coaching position, and division;
- Coach approval status as determined by Administrators.
2.2 Information Collected Automatically
When you use the Services, we automatically collect:
- Log data: IP address, browser type and version, operating system, device type, referring URLs, and timestamps;
- Usage data: pages viewed, features used, profile views (when a Coach views an Athlete’s profile), favoriting actions, and contact-status toggles;
- Subscription and payment activity: subscription tier, payment status, renewal events (we do not store card details—see Section 4).
2.3 Cookies and Similar Technologies
We use a small number of cookies necessary for the platform to function:
- Authentication cookies: keep you signed in across sessions;
- Beta access cookie: remembers that you have entered the beta access code, preventing the lockscreen from reappearing on each visit;
- Hosting and security cookies: standard cookies set by our hosting provider to operate the website and protect against abuse;
- Payment processor cookies (Stripe): set during checkout by our payment processor to facilitate transactions and prevent fraud.
We do not use third-party analytics, advertising, or marketing-tracking cookies (such as Google Analytics, Facebook Pixel, or similar trackers).
2.4 Information We Do Not Collect
We do not collect or process:
- Payment card numbers or banking information (handled exclusively by Stripe);
- Biometric identifiers;
- Precise geolocation (beyond city-level inferences from IP address);
- Information from third-party data brokers, social media tracking, or behavioral advertising networks.
3. How We Use Information
We use the information we collect for the following purposes:
- Operate the Services: create and maintain your Account, display profiles, facilitate Coach–Athlete connections, process subscription payments, and ship Swag where applicable;
- Verify identity: review identity documents to confirm User authenticity and protect Minor Users from bad actors;
- Match Athletes with Coaches: use profile data (sport, position, GPA, location, etc.) to support our matching engine and surface relevant Athletes to Coaches;
- Communicate with you: send transactional emails (account confirmations, payment receipts, password resets, subscription notices, status changes); we do not send marketing or promotional emails at this time;
- Maintain security and integrity: detect and prevent fraud, abuse, harassment, and unauthorized access; investigate violations of our Terms of Service;
- Comply with legal obligations: respond to lawful requests from authorities, comply with tax and accounting requirements, and enforce our agreements;
- Improve the Services: analyze usage patterns in aggregate to improve features, performance, and reliability.
4. How We Share Information
4.1 Within the Platform
The Platform’s core function is to facilitate Coach–Athlete connections. Information sharing within the Platform works as follows:
- Athlete profiles (including name, sport, position, photo, videos, stats, GPA, and intended major) are visible to all approved Coaches;
- Athlete contact email is disclosed only to Coaches who indicate interest by favoriting that Athlete (a core, expected feature of the Platform);
- For Minor Users, the Parent/Guardian email is the contact email shared with interested Coaches—the Minor User’s personal email is not shared;
- Coach profiles (including school affiliation and position) are visible to Athletes and Administrators;
- Administrators have access to all Account information for the purpose of operating the Platform, processing verifications, and enforcing the Terms of Service.
4.2 Service Providers
We share information with a limited set of third-party service providers, each of which is bound by contractual or technical obligations to protect your data:
- Payment processor (Stripe): receives payment-related information necessary to process subscriptions. We do not store payment card details ourselves. Stripe’s privacy practices are governed by its own privacy policy at stripe.com/privacy;
- Cloud storage provider: stores uploaded media (photos, videos) and identity verification documents in encrypted form;
- Cloud hosting provider: hosts the platform infrastructure and processes IP addresses and request logs for operational purposes;
- Transactional email provider: processes recipient email addresses and message contents necessary to deliver transactional email (e.g., password resets, account confirmations).
These providers are not authorized to use your information for their own marketing, sale, or other independent purposes.
4.3 Legal and Safety Disclosures
We may disclose information when we believe in good faith that disclosure is necessary to:
- Comply with applicable law, court order, subpoena, or other lawful request;
- Enforce our Terms of Service or other agreements;
- Investigate or prevent fraud, security incidents, or illegal activity;
- Protect the rights, safety, or property of Quarter Athletic, Users (particularly Minor Users), or the public.
4.4 Business Transfers
If Quarter Athletic is involved in a merger, acquisition, sale of assets, or bankruptcy, your information may be transferred as part of that transaction. We will notify Users of any such change and any resulting changes to this Privacy Policy.
4.5 What We Do Not Do
We do not:
- Sell your personal information to third parties;
- Share your data with advertising networks or data brokers;
- Use your data for targeted advertising on or off the Platform;
- Share Minor User data with any party other than service providers strictly necessary to operate the Platform.
5. Data Retention
5.1 General Retention
We retain your personal information for as long as your Account is active and as long as necessary to provide the Services. After Account closure, we retain certain information as follows:
- Active Accounts: retained indefinitely while the Account remains in use;
- Closed or terminated Accounts: retained until the User requests deletion (see Section 7), subject to legal-retention requirements below;
- Payment and tax records: retained as long as required by applicable tax, accounting, and financial regulations (typically seven (7) years in the United States);
- Backup systems: deleted information may persist in encrypted backup systems for a reasonable period before being purged.
5.2 Inactive Accounts
We may, at our discretion, deactivate or delete Accounts that have been inactive for extended periods, with reasonable notice to the Account holder.
6. Security
We implement reasonable technical and organizational measures to protect your information, including:
- Passwords stored as salted hashes (never in plaintext);
- Encryption in transit (HTTPS/TLS) for all communication with the Platform;
- Encryption at rest for files stored with our cloud storage provider;
- Role-based access control limiting who can view what information;
- Identity verification before activating any User account;
- Regular security review of third-party providers and infrastructure.
No system is perfectly secure. While we use commercially reasonable measures, we cannot guarantee absolute security. You are responsible for keeping your login credentials confidential and notifying us immediately at support@twentyfiveselect.com if you suspect unauthorized access to your Account.
7. Your Rights
7.1 Access and Deletion
You have the right to:
- Access: request a copy of the personal information we hold about you;
- Deletion: request that we delete your personal information, subject to the legal-retention requirements described in Section 5;
- Correction: request that we correct inaccurate information;
- Account closure: close your Account at any time through Account settings or by contacting us.
To exercise these rights, email support@twentyfiveselect.com with your request. We will respond within thirty (30) days. We may need to verify your identity before fulfilling certain requests.
7.2 Minor Users and Parents
The parent or legal guardian of a Minor User (ages 16–17) may exercise these rights on behalf of the Minor User by contacting us at support@twentyfiveselect.com. We will require reasonable verification of the parental relationship before processing such requests.
7.3 State-Specific Rights
Residents of certain U.S. states (including California, Virginia, Colorado, Connecticut, and Utah) have specific privacy rights under applicable state law. We honor all valid requests under these laws to the extent they apply. Contact support@twentyfiveselect.com to exercise state-specific rights.
7.4 Marketing Communications
We do not currently send marketing or promotional emails. If we begin sending such communications in the future, we will obtain your consent and provide an opt-out mechanism in every message. Transactional emails (e.g., account confirmations, payment receipts, password resets) are necessary for the operation of the Services and cannot be opted out of without closing your Account.
8. Marketing Use of Your Profile
As described in Section 13 of our Terms of Service, by using the Platform you grant Quarter Athletic permission to use your name, image, likeness, profile content, and recruiting outcomes for promotional and marketing purposes (e.g., social media announcements of athlete commitments, marketing materials demonstrating the Platform’s effectiveness).
If you wish to request removal of specific marketing content featuring you, contact support@twentyfiveselect.com. We will use commercially reasonable efforts to honor reasonable removal requests for ongoing and prospective uses, but we are not obligated to recall materials already in distribution.
9. Data Breach Notification
If we become aware of a data breach affecting your personal information, we will notify you and applicable regulatory authorities within seventy-two (72) hours of discovery, except where law enforcement requests delay or where notification would compromise the investigation. Notifications will describe the nature of the breach, the information involved, and the steps we are taking in response.
10. Third-Party Links
The Platform may contain links to third-party websites (e.g., Quarter Athletic’s apparel store, Stripe’s checkout). We are not responsible for the privacy practices of those sites. When you leave the Platform, we encourage you to review the privacy policies of every site you visit.
11. International Data Transfers
If you are located outside the United States and choose to use the Services, you understand and consent that your information will be transferred to and processed in the United States, where data protection laws may differ from those of your home country. We do not represent that our practices comply with non-U.S. data protection frameworks (such as GDPR or UK DPA), and we do not actively target Users outside the United States.
12. Changes to This Privacy Policy
We reserve the right to update this Privacy Policy from time to time. If we make material changes, we will notify Users via email or in-Platform notification at least fourteen (14) days before the changes take effect. Continued use of the Services after the effective date of the revised Privacy Policy constitutes your acceptance of the changes. The “Last Updated” date at the top of this Policy will reflect the most recent revision.
